Duties & Responsibilities:
• In accordance with the instructions of the Assistant facilities Manager / Facilities Manager or QS, gathering the data and performing research into historical records of work activities, expense items and purchasing. This input is required to assist in the preparation of plans and budgets.
• Preparing Purchase Requests for approval of the AFM/FM and processing through Purchasing and Senior QS.
• Monitoring requisition of goods from purchase through liaison with store man.
• Coordinating the regular flow of information between the Technical Services and the Accounts Department, the Purchasing Department, as well as other departments.
• Maximo Administration-Assisting the Assets and Planned Maintenance Manager in maintaining the Maximo computer aided facility management(CAFM) system.
• Responsible for Quotations, invoices and purchase orders (Mentor system management).
• Suppliers detail management and follow up for material delivery against the purchase order.
• Staffs and laborers’ salary, business travel, leave, accommodation, air ticket management.
• Cost report, monthly report, CVR report preparation.
• Documentation Control: Updating, processing and filing of all documents.
• Daily, Weekly & Monthly management related report processing.
• Preparation of Minutes of meeting.
• Typing documents and distributing memos.
• Handling incoming / outgoing calls, correspondence and filing.
• Monitoring inventory, office stock and ordering supplies as necessary.
• Updating & maintain the holiday, absence and training records of staff.
• Setting up and coordinating meetings and conferences.
