Career Summary

CURRENT ROLE:
July 2010 to date – PA / Project Administrator, Turbine Engineering Support (TES), DNV GL

I am the Project Administrator for the TES Department, providing support to the Dept/Section Heads and engineers, and also PA support to the Head of TES. TES has approx 70 staff, from a variety of engineering disciplines.

My main duties include:

Monthly WIP Reviewing: Prepare the WIP Reviewing report, analyse the financials and project data for all current projects (approx 300 projects), liaise with lead engineers to establish any actions to be taken, process all the actions before the month-end deadline, resolve all queries

Job Admin: Create and/or oversee job requisition, job modification and job closure instructions

Invoicing: Collate invoice requests and instruct Accounts before the month-end deadline

Reviewing TES Debtors: Co-ordinate and contribute to the TES Chinese Debtors meetings and the TES Debtors (non-Chinese) meetings (both monthly)

PA to Head of TES:

– Monitor Head of TES’s incoming emails and take action as necessary

– Arrange Head of TES’s monthly catch-up meetings with Department and Section Heads, and prepare monthly reports for these meetings

– Arrange monthly TES Heads meetings and attend to minute the action points

TES SharePoint site: Input and maintenance of content in TES SharePoint admin pages

TES Internal Newsletter: Collate and produce the TES Internal Newsletter every 2 months

Supervising my assistant: I have an assistant who works with me, and books travel, accommodation, visas, etc. for the TES Department and Section Heads, updates the TES Organogram and Photo Gallery, arranges department meetings and internal lunchtime seminars, etc.

 

RELEVANT EXPERIENCE:

I have 30 years’ experience of working in the office environment; 14 years as an Administrator, 11 years as an Office Manager / PA, and 5 years as a Project Administrator. During this time I have worked with various systems and processes, within different industries. I have improved my knowledge and capabilities, and am now a confident and effective Project Administrator.

My 14 years Administration experience includes:

• 9 years in finance (including 6 years with NatWest Bank)

• 3 years in the leisure/events industry

 

My 11 years Office Management / PA experience includes:

• 3 years as PA to Policy Director of the Soil Association, an environmental charity

• 4 years as Office Manager within the events industry

• 3 years as PA/Office Manager working freelance through my own company

 

My 5 years as a Project Administrator have all been in Turbine Engineering Support (TES), DNV GL.

 

Achievements

• Overhauled office administration systems to create more efficient and user-friendly processes and office environments.

• Established and ran my own business, providing all aspects of administration support, including PA duties, office management and credit control, to regular clients.

• Co-ordinated the ordering, distribution and installation of all communications equipment for the 2003 Glastonbury Festival.

• Part of a local Liberal Democrat candidate’s team, in his successful campaign to become an elected Councillor in May 2005.

• Identified and arranged for representatives of 74 companies supporting a specific campaign to meet with Shadow MPs, and later Government Ministers, in Westminster.
